He/she will manage the process from the intake interview and the initial proposal for the venue with the associated budget, taking into account the standards, procedures, and policies of the client and American Express Meeting & Events.
This position relates to the Pharma/Medical client sector.
This role focuses on our 'retention strategy'. All activities contribute to the key responsibilities of overall customer retention regarding establishing a professional long-term relationship, excellent service, and account expansion.
What You'll Do
• End-to-End National and/or International Project Management

We’re looking for an experienced Project Director – Logistics Lead to take ownership of the operational logistics for a major global technology client, delivering complex conferences, exhibitions and corporate live events across multiple locations.
This is a senior project leadership role for someone who understands that
event logistics is much more than moving people and things What do we mean by Event Logistics?Logistics is the operational engine that turns an event plan into a live event.
It is the management of
attendee movement, venue operations, staffing, transportation, suppliers, security, risk and onsite execution
required to deliver a seamless event experience — from initial planning through to final reconciliation.
As the Logistics Lead, you’ll bring all of these moving parts together, creating the operational strategy, plans and processes that make complex events work.
You’ll lead logistics across large-scale global programmes, working closely with our Account Directors, Event Services, Production, Creative, Registration, Sponsorship and other specialist teams to ensure every element is planned, coordinated and delivered to the highest standard.
What you'll be doing
You’ll own the logistics strategy and operational delivery across major corporate events, conferences and exhibitions, acting as the senior logistics lead for the programme.
You’ll be responsible for bringing together multiple workstreams, suppliers, teams and stakeholders to create a safe, efficient and exceptional experience for attendees and clients.
Attendee Logistics
• Develop and manage strategies for attendee movement and flow across large-scale events.
• Plan transportation, arrivals, departures, transfers and other attendee logistics.
• Work closely with Registration and other teams to ensure a seamless attendee journey.
• Identify potential operational challenges and develop solutions before they impact the event.
Venue & Operational Logistics
• Lead venue logistics planning across complex conference and exhibition environments.
• Develop detailed operational plans, schedules, floorplans, logistics trackers and onsite processes.
• Coordinate access, loading, unloading, storage, deliveries, back-of-house operations and venue requirements.
• Ensure operational plans integrate effectively with Production, Technical Production, Registration, F&B, Sponsorship and Creative.
• Lead the transition from planning into onsite delivery and ensure the operational plan works in practice.
Security & Risk Management
• Work with clients, venues, security teams and suppliers to develop robust operational security plans.
• Identify operational risks across the programme and develop appropriate mitigation and contingency plans.
• Ensure teams are prepared to respond quickly and effectively to unexpected situations.
• Maintain a calm, proactive and solutions-focused approach throughout delivery.
Staffing Logistics
• Develop staffing and resource plans for event delivery.
• Coordinate event staff, freelancers, contractors and operational teams.
• Ensure teams are appropriately briefed, scheduled and positioned to support the attendee and client experience.
• Work with internal teams to ensure the right people and resources are in place at the right time.
Supplier & Vendor Management
• Lead and coordinate logistics suppliers, service providers and operational partners.
• Manage supplier relationships, contracts, scopes and performance.
• Ensure suppliers understand the wider event strategy and how their workstream integrates with the overall operation.
• Negotiate and manage supplier costs while maintaining quality and operational standards.
Onsite Event Operations
• Take a senior leadership role onsite, overseeing the operational delivery of the event.
• Lead logistics teams and coordinate multiple operational workstreams in real time.
• Act as a key escalation point for operational issues and make confident decisions under pressure.
• Ensure the event runs safely, smoothly and to the standards expected by our clients.
• Lead post-event reconciliation, reviews and lessons learned, driving continuous improvement.

What you will bring
We’re looking for an experienced event logistics and operations leader who understands the complexity of delivering large-scale corporate events.

• 10+ years’ experience in event logistics, event operations or a related senior live events role.
• Significant experience deliveringlarge-scale corporate conferences, exhibitions and live events, ideally for major technology or global brands.

The Role
We are seeking a highly organised and reliable Events Assistant to join our growing B2B marketing agency. This role within the Events team offers a fantastic entry point into the world of B2B events for someone who is eager to learn, hands-on, and enjoys keeping things running smoothly behind the scenes.
Reporting into the Events team, you will provide essential administrative and logistical support across our events, including sourcing and managing merchandise, ordering print materials, and keeping the event cupboard stocked and organised. You will also help teams prepare for events through tasks such as packing and coordinating deliveries. There will also be opportunities to support events onsite across the UK.

Key Responsibilities
General Administrative Support
- Provide day-to-day administrative support to the Events team.
- Help maintain venue databases and vendor contact lists.
- Manage and maintain the event cupboard, keeping it tidy, organised, and well stocked.
- Monitor stock levels of event essentials and carry out regular stock takes.
- Assist with other ad-hoc administrative tasks as required.
Logistics & Planning
- Assist with organising event materials for each event including branded merchandise, name badges, signage etc.

As a Senior Venue Find Consultant, You Will
- Exceed client’s expectations by delivering an initiative, quality service to meet the clients needs. To ensure relevant customer service levels are understood and consistently met or exceeded and to be suitably conversant in all relevant systems, and processes in line with customer requirements.
- Continually develop excellent venue destination knowledge through building positive relationships with key supplier contracts, attending familiarisation visits, destination workshops and webinars when required.
- Work as part of the team driven to find the right solutions, ensuring the client is supported and informed from start to finish on their journey with BCD Meetings and Events. This may involve liaising with other teams such as the BCD Meeting & Events finance team to ensure that all invoicing and financial matters are delivered to the client in a proactive and efficient manner.
- As a senior consultant you will assist the Team Manager as required on various matters including monitoring customer service levels and quality assurance. Also, you will assist with training and development of the consultants by sharing your knowledge and experience.
- Consistently apply and demonstrate venue and destination knowledge to all customers. Also be willing to constantly develop and expand your knowledge of the meetings & events industry, with both suppliers and destinations.

- Previous experience and knowledge of meetings & events venues / destinations in the UK and Overseas is essential.
- You will have a flexible and proactive approach to work, while being able to juggle multiple priorities and projects with resilience under pressure. You will be comfortable with dealing with customers via phone, email and face to face.
- Experience of using MS Office including Excel and experience of entering and extracting data from various databases.
- Being motivated to provide the best customer service for each client while developing your own knowledge, skills and experience.

Job Description
We are looking for a driven, personable and commercially minded Destination Management Manager to lead and grow the Destination Management side of Callow Events, Northern Ireland's leading event management and destination management company, delivering exceptional events and experiences across the UK, Ireland and internationally.
This is a new, role at the heart of Callow Events' strategic growth within the Meetings, Incentives, Conferences and Events (MICE) market, with a particular focus on attracting incoming corporate, association and incentive business to Northern Ireland. You will be the face of our Destination Management Services, building relationships with international buyers, agencies, event planners and corporate clients, while identifying new business opportunities and converting enquiries into exceptional destination management programmes.
This individual must be a natural relationship builder and confident representing the business at industry events, trade shows, networking opportunities and client meetings, both locally and internationally. You will also need outstanding project management, leadership and event delivery skills to oversee the planning and delivery of destination management programmes alongside the wider Event Delivery Team. With a keen eye for detail, creativity and a passion for showcasing the very best of Northern Ireland, you will ensure every client experience reflects the exceptional standards Callow Events is known for.
As Destination Management Manager, you will play a lead role in shaping the commercial strategy, sales pipeline and delivery of our Destination Management Services, working closely with the Management Team to drive the continued growth of this exciting division. You will take a central role in new business development, client relationships, proposals, programme budgets and project delivery, with support from the management team as the division grows.
Duties and Key Responsibilities:
- Lead the growth and development of Callow Events' Destination Management Services, working to the agreed strategy and sales targets for the MICE market.
- Proactively identify and develop new business opportunities with corporate clients, incentive houses, event agencies, professional conference organisers (PCOs) and travel trade partners across the UK, Europe and internationally.
- Manage the internal sales and marketing budget for the Destination Management service line, tracking spend and reporting on return on investment (ROI) to the Managing Director and Associate Director.
- Act as the primary point of contact and trusted advisor for Destination Management clients, managing relationships from initial enquiry through to proposal, contracting and delivery.
- Lead client site inspections and familiarisation visits, showcasing Callow Events' destinations, venues and suppliers to prospective and confirmed clients.
- Represent Callow Events at relevant trade shows, sales missions, familiarisation trips and industry events, both locally and internationally, to build brand awareness and generate new leads.
- Develop and strengthen relationships with key suppliers, venues, hotels and destination partners, negotiating rates and contracts on behalf of the business.
- Build and maintain relationships with key strategic partners to identify commercial opportunities, leads and collaborations.
- Manage the Destination Management sales pipeline and income targets, working with the Management Team to enhance profitability and develop new revenue streams.
- Work collaboratively with the Event Delivery team, delegating tasks, reviewing work and supporting their development.
- Design and deliver bespoke, authentic destination programmes across Northern Ireland, the Republic of Ireland and the UK, including tours, activities, accommodation, transport and entertainment.
- Project manage conferences, incentives and corporate events end-to-end, from proposal through to completion, with the support of the Event Delivery team.
- Manage programme budgets, suppliers and logistics, ensuring cost, quality and client expectations are met at every stage, with the support of the Event Delivery team.
- Research industry trends, competitor activity and new destination experiences to keep Callow Events' offering fresh, unique and competitive.
Core office hours are Monday – Friday, 9:00 a.m. to 5:00 p.m. Additional evenings, weekends and international travel will be required as needed for client meetings, trade shows and event delivery.
Essential Criteria
- 3rd Level Qualification, preferably in Tourism, Events Management, Business Management, Marketing or a related field.
- Minimum 2 years' experience in a MICE, business events, incentive travel, conference or destination management role (whether within a DMC, tourism board, convention bureau, venue or hotel group).
- Proven track record of business development and new client acquisition, with the ability to build a sales pipeline from cold leads through to confirmed business.
- Experience managing and developing client relationships, acting as the primary contact for key accounts, including international clients.
- Knowledge of Northern Ireland’s tourism landscape, including Tourism Northern Ireland, Visit Belfast and key venues and suppliers.
- Experience designing, costing and delivering bespoke programmes or events end-to-end, from proposal through to on-site delivery, including owning revenue or profitability targets.
- Confident, polished communicator, comfortable presenting and representing the business at client meetings, trade shows and industry events.
- Strong computer literacy, including proficiency in Microsoft Office applications (Word, Excel and PowerPoint).
- Excellent attention to detail and accuracy in all documentation, with strong oral and written communication skills.
- Excellent time management skills, with the ability to multitask, prioritise workload, and meet deadlines in a fast-paced environment.
- Willingness and ability to travel within the UK, Ireland and internationally as required.
Desirable Criteria
- An established network of contacts within the MICE, incentive travel or conference industry, locally, in Europe or internationally.
- Experience working within a Destination Management Company (DMC) specifically.
- Experience managing or mentoring team members, and confidence delegating tasks to an Executive or Assistant.
- Full UK driving licence with access to a car during employment.
- Familiarity with event or project management software (e.g. MONDAYS).
- Membership of, or willingness to engage with, relevant industry bodies and accreditations (e.g. Site, MPI, ABPCO).
- Experience working in a fast-paced, customer-focused environment.
- Willingness to learn, develop new skills and take initiative within a growing events team.
