The Senior Experiential Event Executive role sits within our Brand Experience Division at LIVE·TEAM, working on established brands both in and out of sport.

The role is varied across multiple accounts throughout the year, and as a key member of the team, you will be involved in the planning and delivery of events from start to finish, always striving to create best in class brand experiences for our clients.

This will be a hybrid working role, working from both our London and Orpington office.

WHAT YOU WILL BE DOING:
• Development and management of own relationship with suppliers, clients and partners
• Support on project scoping, budgeting and building out initial proposals
• Admin support to account leads such as research, requesting quotes, raising PO’s, processing invoices and team logistics support
• Efficient meeting management, preparation and write up of notes and actions, ensuing they are shared with the client and other stakeholders in a timely manner
• Ownership of project timelines ensuring deadlines are clearly communicated and adhered to
• Co-ordinate and manage staffing partners, production suppliers and any other third parties engaged for the delivery of projects
• Assistance with financial elements of accounts – budget tracking, PO’s, supplier invoicing/cost management
• Event activation – involved in all aspects of the events including venue sourcing, staffing, branding, creative execution, on-site support and supplier communications
• Deliver well written presentations in both content and narrative
• Ownership of post event report and creation of robust case studies
• Upwardly manage communication and information flow to line manager and account team
• Build strong relationships and foster good team spirit internally and amongst client teams
• Draw upon experience from across LIVE·TEAM where relevant, to optimise quality of work provided on the account
• Develop and maintain an understanding of market trends for client’s business
• Lead by example: set standards and ensure best practice and high quality of work
• Proactively seek ways to grow the account by becoming an ambassador of LIVE·TEAM services so they are front of mind when opportunities present themselves

THE SKILLS AND EXPERIENCE YOU NEED:
• Experiential / live events experience knowledge, both planning and on site is preferred
• Financial and budget management experience is preferred but not essential
• Excellent planning and project management skills
• Excellent communication skills – verbal and written
• Creative thinking - the ability to come up with forward thinking experiential ideas
• Strong attention to detail
• Ability to multi-task; you will be working across a number of activations with tight deadlines
• Ability to think on your feet and take appropriate actions to resolve any unforeseen issues as they arise
• Ability to enthuse and motivate others

About The Role:

  • You will be responsible for the entire life cycle management of big events since the sales and legal team has signed the commercial contract till the events final closing.
  • You will be the main point of contact between all the stakeholders, from the event organizer to all the internal teams involved.
  • Although being overall owner of the whole process you will work as part of a team, you will be in charge of making things happen in time and form by managing other departments tasks.
  • Communicate product needs (Fever usability) and process needs to HQ, work with product/engineering to deliver on them. in order to have a consolidated list of all the requirements and prioritize them with the product team.
  • Create and maintained exhaustive Q&A in order to have an answer to potential user incidencies managed by our user support team.
  • Make sure that all the requirements needed to achieve the project goals have all the necessary documentation
  • Depending on the event, your presence on site might be required during the launch or other important dates

About You:

  • 2+ years in a project management role or consulting background. This is not a position for an events background, but having event experience is a plus.
  • Bilingual English speaker, other languages are a plus.
  • Huge appetite for learning and the ability to pick up new skills quickly. You will also have strong analytical, relationship management, and organisational skills.
  • You'll be solution-focused, identifying problem areas and then creating plans to find resolutions.
  • You'll have strong communication skills and a proven track record of building positive working relationships.

What You Would Get To Do

In this capacity, the ideal candidate would represent the FIRST brand as an implanted team member for one of our Solutions accounts in a well-known technology company and assume the role of Team Lead. This position is ideal for someone with strong technical production experience in the event industry who can assume a management role within an organization. This role will be responsible for leading the technical production elements for high-profile events in addition to directly managing team members on the account to ensure delivery of high quality events. You’ll liaise with FIRST teams and our client on a daily basis.

For events, the goal is to provide a seamless technology experience to all attendees, press and partners, as well as create a more efficient and reliable technical environment for event staff and vendors.

Your Contributions

  • Lead on all aspects of on-site service delivery which includes developing processes, maintaining client relationships, and driving innovations and efficiencies
  • Generate detailed reporting to provide insight on the health of studios, space utilization, finances, staffing, and client satisfaction
  • Partner with Production leadership to ensure SOP’s are executed to the desired standards, and that all risk is identified in a timely manner
  • Manage FIRST team members which could include; specialists, technicians, and freelancers at this facility
  • Partner with Production Leadership to ensure all technically complex and high profile events are executed flawlessly
  • Coordinate with stakeholders across teams and service lines to ensure the seamless execution of events
  • Coordinate with the Experiential AV and Multimedia team to ensure the flawless delivery of content on experiential displays (NYC only)
  • Provide technical, operational and production support to a number of on-site meeting spaces
  • Work closely with clients to establish A/V and staging layouts as well as budgets for events
  • Staff, administer and maintain event calendar for FIRST team members
  • Oversee workload of team ensuring day-to-day understanding of capacity/pressure points and assisting/offering guidance on team’s events where required
  • Manage vacation schedules, coordinate team presence in office to ensure ample coverage, and review all T&E reports
  • Liaise with Regional Lead & other Team Leads to schedule and execute monthly meetings with the FIRST team on the account
  • Partner with FIRST People & Culture on all company initiatives, recruiting, and employee relations matters
  • Oversee the on-boarding & training/off-boarding process for all employees on the account

What We Are Looking For

  • 8-10 years of relevant experience
  • Strong people management skills with the ability to lead by example is essential
  • Expert/in-depth understanding of the latest Audio/Visual technology and advancements including lighting, audio/video, rigging and power
  • High level of proficiency in the technical delivery of high-quality events
  • Video output experience with expert technical understanding of systems
  • Extensive experience operating event production systems
  • Excellent communication and customer service skills are a must to build and maintain relationships
  • Ability to prioritize while adhering to critical project timelines in a fast-paced environment
  • Expert knowledge of 2D and 3D CAD (Vectorworks) preferred

Seeking a detail-oriented Events & Marketing Manager to support the EVP of Marketing & Communications, based out of London to ensure the smooth execution of events and other internal and external marketing initiatives.

You will be part of the Corporate Events team, providing hands-on operational, logistical, and administrative support across a wide range of projects by helping bring ideas to life while maintaining strong control over budgets, processes, and deliverables.

Key Responsibilities

Event Management & Execution

  • Manage the planning and delivery of corporate events, predominantly in London.   • Work closely with Corporate Events team based in Toronto on the planning and delivery of our high-end hospitality Corporate events program that includes projects globally. currently three events in the US and one event in Europe. Playing a larger logistical role for any European tentpoles.
  • Support other corporate teams and BU’s on the delivery of their events program where needed.
  • Create pre and post event reports that demonstrate objectives, KPI’s and how we have delivered against them

Partnership Management

  • Work with the EVP, Marketing & Communications to identify appropriate partnerships to elevate THE·TEAM brand predominantly across EMEA & APAC

Merchandise Management

  • Ensure global supplier database is accurate and up to date

  • Be part of the team that manages and monitors our website’s corporate inbox ensuring that leads for both our marketing service and talent representation teams reach the right internal stakeholders. Also responsible for tracking these leads in a timely manner
  • Work with the digital team on the online merch store, it’s subscriptions and the processes that ensure that the online merch store is a success

Team Support& Administration

  • Act as a key operational support within a fast-paced Marketing & Communications team
  • Manage administrative processes relating to partnerships and events including raising purchase orders, tracking invoices, and reconciling budgets

Skills & Experience

  • 4 years’ experience in an Events & Marketing role

Producer/Production ManagerAbout the Role

We are looking for an experienced, passionate, and pragmatic Event Producer or Production Manager to help deliver our portfolio of original events at Fever. This person will serve as the point of contact on the production side of all assigned projects, being responsible for the third parties involved in the execution, development, and production of the creative deliverables.   • Create production budgets and timelines and ensure that projects are keeping to budget and to schedule

About You:

We are actively delivering experiences across the UK, mainland Europe, Asia, Australia and North America with the ongoing ambition to deliver a wider scope of projects within a multi genre client and cultural landscape; and we’re now looking for another Senior Production Manager, specialising in live events to help us on that journey.

As a Senior Production Manager you will be one of the most senior contacts between internal stakeholders at Amplify and our external suppliers and partners, be that technical, fabrication, operations and logs, H&S, local authorities and more. You will be one of the Live Team’s senior production and technical figureheads, a go-to person for heads of department and project lead queries as well as the wider team members looking to you for expertise, guidance, development and support.

Your experience will span the full remit and delivery of Live campaigns primarily experiential but equally with a strong knowledge and skill set in both content and broadcast disciplines. You’ll bring your experience to the fore to ensure all projects and challenges are met head on with a collaborative, positive and can-do team first approach and with a focus on the detail and flawless delivery.

You will work as part of a wider team and be expected to calmly navigate all the different challenges that come with involvement in our biggest and most complex projects working in tandem with the lead producer, ensuring all relevant stakeholders are kept abreast of the key developments and requirements through every stage, from concept ideation through to final execution.

Who We're Looking For

  • You are a capable influencer of all production elements and drive personal and collective excellence when managing multiple stakeholders, both internal and external.
  • You are a skilled communicator in all forms and are able to do so with expertise and gravitas alongside other senior members of a project team to both internal and external stakeholders
  • You have excellent financial acumen and experience in managing production and technical budgets of £1m+ with strong commerciality including driving supplier negotiations, maintaining cash flows in line with client invoicing and identifying and communicating crucial points during the pre and post production timeline.
  • You enjoy building and maintaining strong relationships with suppliers, but also have an ever growing list of contacts that you, and Amplify, can rely on when up against it.
